Terms of Service

1. Agreement to Terms

These Terms of Service ("Terms") govern the access and use of the Hyperreal Film Club Discord Bot and automated shift tracking service ("Service") operated by Hyperreal Film Club ("HRFC", "we", "us", or "our"), located at 301 Chicon St, Austin, TX 78702.

By initiating interactions with the bot (such as executing /log-hours, selecting screening shifts, or confirming submissions), you confirm that you are an authorized Hyperreal Film Club paid staff member or designated showrunner and agree to comply with these Terms.

2. Authorized Users and Access Eligibility

Access to this tool is strictly limited to:

• Current, active paid staff members of Hyperreal Film Club.
• Approved showrunners, projectionists, box office leads, and operations personnel designated by HRFC leadership.
• Members who have been granted access to authorized staff channels within the official Hyperreal Film Club Discord server.

Any unauthorized attempt to access, invoke, query, or reverse-engineer the bot or its underlying APIs Gateway, Lambda, PostgreSQL database, or Airtable workspace is strictly prohibited.

3. Purpose and Scope of the Service

The Service provides automated workflow tooling to:

• Facilitate accurate timekeeping for screening shifts, equipment handling, and venue operations.
• Fetch scheduled screening events from the HRFC organizational base for shift attribution.
• Stage time submissions into internal PostgreSQL databases (discord_bot on RDS) and the official Airtable Showrunner Hours table.
• Provide auditable records for internal accounting, payroll calculation, and operational planning.

4. Staff Responsibilities & Accurate Reporting

When using this tool, authorized staff members agree to:

• Provide truthful, accurate, and complete information regarding dates worked, clock-in times, clock-out times, and duties performed.
• Submit shift logs promptly following the completion of an event or screening.
• Refrain from logging shifts on behalf of other individuals unless explicitly instructed and authorized by management.
• Immediately report any accidental duplicate submissions, incorrect times, or technical discrepancies to HRFC administrative leads.

5. Security, Infrastructure & Data Transmission

All communications between Discord, AWS API Gateway, AWS Lambda, PostgreSQL, and Airtable are encrypted in transit using industry-standard TLS. Staff members are responsible for maintaining the security of their Discord user accounts and two-factor authentication (2FA).

6. Modifications to Service & Terms

Hyperreal Film Club reserves the right to modify, upgrade, suspend, or discontinue any feature, slash command, or database workflow of this Service at any time to meet organizational, operational, or security needs.
